Who we are

This website is run by Pembroke Digital Limited, trading as Pembroke Digital, a company registered in England and Wales (company number 14750911). Our registered office is Suite 4, Marlborough House, 26 High Street, Old Town, Swindon, SN1 3EP. We are registered with the Information Commissioner's Office (ICO), registration number ZB692196.

For the personal data described here we are the controller, which means we decide how and why it is used. Pembroke Digital owns and operates O'Brien Media, Swindon Web Design, Starter Sites and The Website Builders. Each of those brands has its own website and its own privacy policy. This policy covers pembrokedigital.co.uk only.

What we collect

We keep this to a minimum. Depending on how you use the site, we collect:

Emails and calls: whatever you tell us, together with your name and contact details, when you email or phone us.
Server logs: our web server records your IP address, the page requested and your browser type each time you visit.
Minimal analytics: basic, cookie-free statistics about how the site is used, such as which pages are viewed. We use Matomo for this, which does not record IP addresses. Matomo runs on our own servers, so this data is not shared with any outside analytics provider.

No cookies and no advertising. We do not set cookies on this site, we do not run advertising tools on it, and we do not sell your information. See our Cookie Policy.

We do not intentionally collect special category data (such as health information). This site is not aimed at children and we do not knowingly collect their data.

Why we use it, and our lawful basis

We use your information to reply to enquiries, to point you to the right brand, to keep the site secure and working, and to keep the records the law requires. Our lawful bases are:

Legitimate interests: answering enquiries, site security, keeping the site running, and understanding how the site is used so we can improve it.
Contract: steps taken at your request before working together.
Legal obligation: for example keeping invoices and accounting records.

We do not use your data for automated decision-making.

We share personal data only where necessary, with:

Microsoft, which hosts our email through Microsoft 365. If you email us, your message and contact details are processed there, under Microsoft's terms for business customers.
Our brands. If your enquiry is best handled by O'Brien Media, Swindon Web Design, Starter Sites or The Website Builders, we may pass it to that brand, which is operated by us.
Professional advisers or authorities, where the law requires or where we need advice.

Our own hosting. We host this website ourselves, so server logs and analytics data (Matomo) are kept on our own servers and are not passed to a hosting company or analytics provider.

Third-party files. This site loads its fonts from Google Fonts, which is hosted by Google. These files do not set cookies on this site, but when your browser fetches them Google can see your IP address and browser type.

Microsoft and Google may process data outside the UK. We only use them where the safeguards required by UK law are in place.

How long we keep it

Enquiries that do not lead to work: 12 months.
Customer records: for as long as we work together, then six years for accounting records.
Server logs: 7 days.
Analytics data: 12 months.

After that we delete or anonymise the data.

Your rights

You can ask us to give you a copy of your data, correct it, or delete or restrict its use. You can object where we rely on legitimate interests, and ask for your data in a portable form where relevant. Email info@pembrokedigital.co.uk and we will reply within one month.

You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.

Changes to this policy

If we change this policy we will update this page and the date at the top.
